1. Bookings and places

All places at Chill & Skill Holiday Club are subject to availability. A booking is only confirmed once the required booking information has been completed and payment has been received, unless otherwise agreed by Chill & Skill Ltd.

Parents/carers are responsible for ensuring that all information supplied when booking is accurate and up to date, including emergency contact details, medical information, allergies, additional needs and details of authorised persons who may collect the child.

2. Payment

Payment must be made in accordance with the payment instructions provided at the time of booking. Chill & Skill Ltd reserves the right to refuse attendance where payment has not been received.

3. Cancellations and refunds

If you need to cancel a booking, please contact us as soon as possible.

Our cancellation and refund arrangements will be communicated when booking. Where Chill & Skill Ltd has to cancel a session, we will normally offer an alternative session or refund the affected booking.

We cannot normally refund sessions missed because a child is unwell, absent, arrives late or is collected early, subject to any cancellation terms provided at booking.

4. Illness and medication

Children should not attend if they are unwell or have an illness that could place other children or staff at risk.

Parents/carers must inform us of relevant medical conditions, allergies and medication requirements before attendance.

Medication must not be left in a child's bag without the knowledge of staff. Any medication that needs to be administered during a session must be provided and authorised in accordance with our medication procedures.

If a child becomes unwell during a session, we may contact the parent/carer or emergency contact and request that the child is collected.

5. Allergies and food

Parents/carers must provide full details of any allergies, intolerances or dietary requirements.

Although reasonable precautions will be taken, we cannot guarantee that the club environment will be completely free from allergens.

6. Additional needs

We want our activities to be accessible and enjoyable. Parents/carers should tell us about any additional needs, disabilities, communication needs or support requirements when making a booking.

Where additional support may be required, we may contact the parent/carer before confirming the arrangements so that we can assess how the child's needs can be safely and appropriately supported.

7. Behaviour

Children are expected to behave respectfully towards other children, staff, equipment and the venue.

We will manage behaviour positively and appropriately. However, where a child's behaviour creates a significant or persistent risk to themselves or others, we may contact their parent/carer and ask for the child to be collected.

In serious circumstances, we reserve the right to refuse future attendance. We will aim to discuss concerns with parents/carers wherever appropriate.

8. Arrival and collection

Children must be signed in and out in accordance with the club's procedures.

Children will only be released to a parent/carer or another person authorised to collect them. We may request identification if staff do not recognise the person collecting.

Parents/carers must ensure children are collected by the stated closing time. Please contact us immediately if you are unexpectedly delayed.

9. Emergency treatment

In an emergency, Chill & Skill Ltd will make reasonable efforts to contact the child's parent/carer or emergency contact.

Where urgent medical attention is considered necessary and a parent/carer cannot be reached immediately, appropriate emergency assistance will be sought. Parents/carers must provide relevant medical and emergency information when registering their child.

10. Accidents and incidents

Accidents and significant incidents will be recorded in accordance with our procedures, and parents/carers will be informed where appropriate.

11. Activities and outdoor play

Our holiday club may include sports, games, arts and crafts, outdoor activities and other age-appropriate recreational activities.

Reasonable safety measures and risk assessments will be used. Parents/carers should ensure children arrive with suitable clothing, footwear and any requested items such as coats, sun hats or water bottles.

12. Sun protection

During warm weather, parents/carers should apply suitable sunscreen before their child arrives and provide appropriate sun protection where requested.

13. Personal belongings

Please clearly label children's belongings. Chill & Skill Ltd cannot accept responsibility for loss or damage to personal belongings except where liability cannot legally be excluded.

Children should not bring valuable items unless specifically requested.

14. Mobile phones and electronic devices

Where children bring mobile phones or other electronic devices, their use may be restricted during club sessions to protect children's privacy, safety and enjoyment of activities.

15. Photography and video

Photographs or videos will only be used in accordance with our photography/media procedures and the permissions obtained from parents/carers.

Parents/carers should not photograph or record other children at the club without appropriate permission.

16. Safeguarding

The safety and welfare of children is our priority. Chill & Skill Ltd operates safeguarding procedures and staff are expected to act on concerns about a child's welfare in accordance with those procedures and applicable safeguarding requirements.

17. Data protection and privacy

Personal information supplied to Chill & Skill Ltd will be handled in accordance with applicable UK data protection requirements and our privacy arrangements.

Information may be shared where necessary to safeguard a child, respond to an emergency, meet legal obligations or otherwise where permitted or required by law.

18. Changes to sessions

Occasionally, activities, staff arrangements, venues or schedules may need to change due to circumstances outside our reasonable control. We will endeavour to minimise disruption and communicate significant changes to parents/carers.

20. Acceptance of these terms

By making a booking for a child to attend Chill & Skill Holiday Club, the parent/carer confirms that they have provided accurate information and agree to these Terms & Conditions.
